Ordering Interface

The Ordering Page is where staff can create and manage orders linked to tables, takeaways, or deliveries. From here, users can add products, send orders to the kitchen, assign clients, and more.


Accessing the Ordering Page

From the Home Screen, there are two ways to access the ordering interface:

1. Tables (Left Panel)

  • Tap on an empty table to open it.
  • This opens the ordering interface for the table, but no account is created until the first order is sent.

2. Takeaway / Delivery (Middle Panel)

  • Tap on Takeaway or Delivery buttons to create and open a new account.
  • Depending on configuration (set in the Admin Panel), this may be replaced by a “+” button to open a generic account.

Ordering Workflow

Once on the ordering screen:

  1. Select products from the menu.
  2. Tap “Send Order” in the top-right corner to confirm the order.
  3. The order is then:
    • Saved to the backend
    • Printed at any applicable kitchen printer for preparation

Orders are only submitted when the Send Order button is tapped.


Interface Layout

Left Section:

  • Product Groups: Primary product categories
  • Search Bar: Search for a specific product using the on-screen keyboard
  • Product List: Tap to add a product. Long-tap to choose quantity.

Top Section:

  • Subgroups: If configured, shows subcategories of selected group
  • Edit Table Name: Add a custom label to the account
  • Client Info: Assign client information to the account
  • Table Number Display
  • Message Button: Send a custom kitchen message (e.g., "Send Starters")

Bottom Right:

  • Set Time: Add a preparation time (date/time) to the ticket
    ⚠️ This does not delay the order, only labels the ticket

Browsing Groups and Subgroups

Product groups show a counter with the number of products they contain.

  • A group that holds no products of its own, only subgroups, shows the number of subgroups instead. This makes it clear at a glance that the group is a category to open, not a list of items.
  • Products hidden in the app are not counted, so the number on the group always matches what staff actually see when they open it.

When you open a group that has subgroups, the first subgroup is selected automatically and its products are shown right away — one tap less before ordering.


Searching for a Product

The Search Bar looks through the products staff can order:

  • Product groups hidden in the app are left out of the results, and out of the alphabetical letter filter.
  • The list refreshes shortly after you stop typing rather than on every keystroke, so results settle instead of flickering while a long name is entered.

Tip

If a product is missing from the search results, check whether its group is set to Hide in App in the Admin Panel.


Additional Features

  • Product Options: Some products may prompt for additional selections (e.g., toppings or sides) before being added to the order
    • When a group has reached its maximum number of choices, the options already selected can still be tapped again to deselect them. Only new selections are blocked once the limit is reached.
    • On products shown with an image, the + / – quantity controls stay visible on top of the image.
  • Quick Quantity Selection: Long-tap on a product to open a dialog for bulk ordering (e.g., 200 units)
  • Couverts: If the account is a table, the user can specify how many diners are seated

Close Account Behavior

  • Close Account Button (Bottom Right) behavior varies:
    • On a table with sent orders: closes the screen (does not close the account)
    • On an empty opened account (with no sent orders): closes and deletes the account
    • On paid accounts: closes the account if payment is complete

Note

In the Belgian SCE-certified version (Version 1), accounts are closed automatically after payment, and manual closing is not used.


Assigning a Client to an Account

Tapping Client Info on the ordering screen opens Client Data, where a customer record is attached to the account.

  1. Enter a phone number — the screen prompts “Enter phone number to start searching” and matches as you type.
  2. Pick the client from the results, or tap Add client to create a new one.
  3. Tap Open account to continue with that client attached, or Skip to carry on without one.

If nothing matches, the screen says so and invites you to search by phone number or add a new client from the action above.

On an existing client you can Update details — corrections made here are saved to the client record itself, so the next order finds them.

Alongside the client's own details, the account can carry:

  • Preparation time — when the order is wanted, Now by default
  • Type — the account type
  • Internal Comment — a note for staff, not shown to the customer
  • VAT Number — for a business customer

Tip

Search before you add. Phone numbers must be unique, so creating a client who already exists is rejected — searching first avoids the dead end mid-service.

Establishments in a medical setting see this screen as Patient Data, with the same fields and behaviour.


Moving and Merging

Moving Several Items at Once

Moving an ordered product to another table or account is not limited to one item at a time.

  1. Long-press an ordered product and choose Move.
  2. The item you started from is already selected, and selection mode opens.
  3. Tap any other items you want to take with it. The button shows how many are selected — Move 3 items.
  4. Confirm, then pick the destination table or account.

Tip

Use this when a guest changes seat mid-service, or when a round was rung up on the wrong table — the whole round moves in one action instead of item by item.

Warning

A product with a running timer cannot be moved: “You cannot move products with a running timer, stop the timer first.” Stop the timer, then move it.

Merging Accounts

Takeaway and delivery accounts can be merged from the accounts list with the Merge/Move action. Confirm the merge and every ordered product from the source account is brought into the destination account.

Warning

Merging cannot be undone. The confirmation spells out which account is merged into which — read it before confirming.

Note

Table actions are only offered on a table that actually has an account. There is nothing to merge or move on an empty table, so the actions do not appear there.

If a merge does not complete — a connection problem, for example — the app reports that the merge failed and the accounts are left as they were.

Note

In the Belgian SCE-certified version, moving items between accounts is recorded fiscally. This is also possible after a provisional bill has been printed; see Payment.


Cancel an Ordered Product

Authorized users can cancel an already-ordered product (one that has been sent to the kitchen) from an active order directly in the app.

How to Cancel an Ordered Product

  1. Open the active order and navigate to the Order Details bottom sheet.
  2. Long-press the ordered product you want to cancel.
  3. A context menu appears. Depending on the user's permissions, it may show:
    • Move – available if the user has permission to move products. See Moving and Merging for what can be moved.
    • Cancel – available if the user has the Cancel Ordered Product permission.
  4. Tap Cancel to remove the product from the order.
  5. The order product list updates immediately in the app.

What Happens After Cancellation

  • A negative unit line is created on the order in both the SCE-certified and non-SCE versions, ensuring the cancellation is recorded on the ticket.
  • A cancellation print is automatically sent to the kitchen printer, notifying kitchen staff that the item should not be prepared.

Warning

Only products that have not yet been paid can be cancelled. Already-paid products do not show the Cancel option.

Note

If the cancellation request fails (e.g., a connectivity issue), an error message is shown and the product remains on the order.

Permission Requirements

The Cancel option is only shown to users who have the Cancel Ordered Product ability enabled on their account. This permission is managed per user in the Admin Panel.


Discounting a Product

To reduce the price of a product rather than remove it, tap it in the order panel and choose Add promo. Discounts are entered as a percentage.

From the payment screen you can also discount several products at once by selecting them first, or the whole account by selecting nothing — see Discounts.

Note

Apply discounts before taking a part-payment on the account. Once a customer has paid a custom amount, discounts are no longer available on it — see Paying a Custom Amount (Partial Payment).


Cancel a Non-Ordered Product

Users can also remove a product that has been added to the basket but not yet sent to the kitchen.

How to Cancel a Non-Ordered Product

  1. In the ordering screen, locate the product in the current basket (unsent items).
  2. Long-press the product in the basket.
  3. Tap Cancel from the context menu.

What Happens After Cancellation

The behaviour differs depending on the version:

  • Non-SCE version – The product is simply removed from the basket with no record created.
  • SCE-certified version – A negative unit line is created on the order to maintain a complete and auditable record of all additions and removals.

Note

In the SCE-certified version, all basket modifications — including removals — are recorded to comply with fiscal audit requirements. Items cannot be silently deleted.


Summary

  • Orders are created per table, takeaway, or delivery account
  • Products are added from the left panel and must be confirmed using Send Order
  • Various tools are available for customizing the order (messages, client info, quantity, preparation time)
  • Authorized users can long-press an ordered product to cancel it; a negative line and a kitchen cancel print are always created
  • Long-pressing an unsent basket item removes it immediately in non-SCE versions, or records a negative line in the SCE-certified version
  • Behavior such as UI layout and navigation flow is configurable from the Admin Panel
