Payment Workflow

The Payment Page is used to finalize an account after the order has been sent. It provides an overview of the remaining balance, payment methods, and confirmation steps.


Accessing the Payment Page

After sending at least one product to the kitchen/backend:

  • Tap the red credit card button in the top-right corner of the ordering screen
  • This navigates to the Payment Page

Top Section

  • Remaining Amount: Total still to be paid
  • Paid Amount: Total already paid

Note

An account does not have to be settled in one go. A customer can pay part of the bill and the account stays open with the rest still owed — see Paying a Custom Amount (Partial Payment). This works in both versions.

Left Panel

  • Product List: Items on the ticket that require payment

Bottom Left

  • Available Payment Methods:
    Shows the payment types the current user is authorized to use, based on user abilities defined in the Admin Panel.

Completing the Payment

  1. Tap the desired payment method (e.g. Cash, Card)
  2. In the right-hand panel:
    • Confirm that the payment was received
    • For cash payments, enter the amount received (e.g., 100 EUR)
    • The system will automatically calculate the change due

Tip

The cash calculation tool replaces the need for an external calculator — simply input the amount the customer gave, and the app displays the change to return.

Warning

It is important to note that the cash calculation tool is not a money in/out nor does it register in the cash register the bills used for payment. It is merely a calculation tool to assist the user in determining the change to return.

  1. Once confirmed:
    • The payment is saved
    • The account is automatically closed
    • Data is synced with the backend

Paying a Custom Amount (Partial Payment)

A customer can pay part of a bill — a round figure, their share of a table, a deposit — without the account being closed. The amount is typed on a keypad rather than worked out from the items on the ticket.

Entering the amount

  1. Open the account's payment screen.
  2. Tap the keypad button in the top bar, to the right of the percentage (%) button.
  3. The Amount panel opens and asks you to “Please enter the amount to be paid”. Type the figure on the keypad — use the , key for cents.
  4. Confirm with the green tick. The red cross cancels without changing anything.
  5. Choose the payment method and confirm the payment as usual.

The amount you type cannot exceed what is still owed — the keypad stops at the remaining amount, so an account can never be overpaid this way.

Tip

The same panel opens if you tap a product line that cannot be selected for payment. That is the app telling you this account has to be settled by amount rather than by item.

What happens to the balance

The payment is registered for exactly the amount you entered, and the account stays open with the difference still to pay. Remaining Amount at the top of the screen falls by what was taken and Paid Amount rises by the same figure. Repeat the steps for the next customer, until the remaining amount reaches zero and the account closes.

Once a custom amount has been taken

The first custom amount changes how the rest of that account is settled, so the app warns you before you get there:

After applying a custom amount payment you will not be able to offer items or apply promotions for this account

From that point, on that account:

  • Items can no longer be selected to pay for. The paid and unpaid lists merge into a single list of everything on the ticket.
  • Every further payment is a custom amount. Tapping a payment method proposes the whole remaining amount, and the keypad button lets you lower it.
  • Offered, Error and the percentage (%) discount button disappear.

Warning

Apply any discount, and offer any items, before taking the first custom amount. Afterwards those options are gone for the rest of the account — see Discounts.

Splitting a bill between customers

Custom amounts and item selection are two different ways to split one bill, and they cannot be mixed on the same account:

Decide which one the table needs before the first payment, because taking a custom amount rules out paying by item for the rest of that account.

In the Belgian SCE-certified version

Partial payments are available in the certified version, and each one is registered fiscally as it is taken.

One difference applies. Cash is rounded in the certified version, and when a cash payment for part of an account needs rounding the app asks you to confirm first, under Cash rounding:

This cash payment requires rounding. After this payment, you will no longer be able to select individual items to pay. You will need to enter a custom amount for any remaining payments.

Accepting the rounding therefore switches the account to custom amounts for whatever is left, exactly as entering one by hand does. Paying for all the remaining items at once needs no rounding and does not raise the message.


Failed Card Payments

When a card payment does not go through, the payment screen shows a failure animation together with Card payment failed and the message reported by the payment terminal itself (for example a refusal or a cancellation by the customer).

This applies to every failed card payment, so the reason the terminal gave is always visible on the tablet without having to read the terminal screen.

Tip

The message comes from the terminal, so it is the most reliable indication of why the payment did not succeed. Read it before retrying the payment.


Payment Terminals

The payment terminal used by a register is configured per user in the Admin Panel. Besides network-connected terminals, a terminal application installed on the same tablet can be used: the app hands the payment over to the terminal application and picks the result back up automatically, so the flow stays on one device.

Refunding with a Cash Machine

When your establishment uses a cash machine and refunds are enabled, a refund can be paid back to the customer directly from the machine.

  1. Open the account and tap Refund.
  2. Select the items you would like to refund. The button counts them — Refund 2 items.
  3. Confirm.

Confirming creates a refund account containing the selected items. The refund amount is then paid out through the cash machine, in the same way a payment is collected.

Note

The on-screen description confirms this before you continue: “Select the items you would like to refund, confirming will create a refund account to process the refund.”

Tip

If the machine pays out a slightly different amount than requested, the account is adjusted to the amount the machine actually handled, so the register stays in line with the cash drawer.


Multi-User Payments

  • + / – Buttons allow splitting the bill visually among multiple customers
  • This feature does not affect the payment logic or backend records
  • It is used only to assist in dividing totals when customers want to share payment

Discounts

A discount is entered as a percentage, and can be applied to one product, to several selected products, or to the whole account. Every route opens the same dialog, Apply a discount, which asks you to “Please enter the discount amount in percentage”.

Discounts apply to orders that have already been sent, so a table that is part-way through service can be discounted without closing it.

One product

  1. Open the account and find the product in the order panel.
  2. Tap the product to open its actions.
  3. Choose Add promo.
  4. Enter the percentage and confirm.

The discount is attached to that line only. Repeat it for each product you want to reduce.

Several products, or the whole account

Both are done from the payment screen, with the same percentage (%) button in the top bar. What the discount lands on depends on what you have selected when you tap it:

  1. Open the account's payment screen.
  2. Select the items you want to reduce — or select nothing to discount everything.
  3. Tap the percentage (%) button in the top bar.
  4. Enter the percentage and confirm.

The reduction goes up to 100% and is shown as a negative percentage such as -10%.

Tip

Selecting items is the quickest way to discount part of a bill — the drinks but not the food, or one guest's dishes out of a shared table. It saves opening each product's actions in turn.

Note

The selection is cleared once the discount is applied. This is deliberate: it stops you taking a payment for the amount you had selected before the reduction was worked out. Re-select the items if you then want to pay for just those.

Tip

Reach for the account-wide discount when you are settling a bill — a gesture on a delayed order, a staff meal, a goodwill reduction. Use a selection, or the per-product discount, when only part of the order should come down.

Who can apply a discount

Discounts are governed by the same permission as offering an item:

  • a user granted the Offered ability, or
  • Allow offer switched on for the whole establishment in the Admin Panel

Administrators can always apply one, with no ability granted to them. If neither applies, Add promo does not appear in the product's actions and the percentage button is absent from the payment screen — see Users.

Warning

A custom amount payment closes the door on discounts. Once one has been entered on an account, the app warns: “After applying a custom amount payment you will not be able to offer items or apply promotions for this account”, and the discount options disappear for that account.

Apply any discount before taking a custom amount.

On the ticket

The ticket shows both halves of the calculation — the original price and the reduction — rather than a single reduced figure. See Promotions on Tickets.

Discounts granted over a shift are also totalled on the X and Z reports, so they can be reviewed without reconstructing them from individual tickets. See Shop Shift.

Note

In the Belgian SCE-certified version a discount applied to a line that was already registered fiscally is recorded as a correction of that line. A discounted item that has been corrected can no longer be refunded — see Refunds.


Provisional Bills

A Provisional Bill (preliminary receipt) can be printed in two ways:

  1. From the ordering screen, tap the blue printer button
  2. From the payment screen, tap the blue printer button at the bottom right

The bill prints straight away — there is no confirmation step to acknowledge first.

Continuing to Serve After a Provisional Bill

Printing a provisional bill in the Belgian SCE-certified version no longer closes the account to further service. After the bill has been printed you can still:

  • Send new orders on the account
  • Apply a promotion or a discount
  • Offer items
  • Register an error correction
  • Move items to another table or account

Each of these is recorded fiscally in its own right, so the account stays compliant while the table keeps ordering.

Tip

This matches how service actually runs: a table asks for the bill, then orders one last coffee. You no longer need to open a second account to serve them.

Note

The summary print button is hidden on refund and payment correction accounts. Those accounts document a correction rather than a sale, so a summary of them would not be meaningful.


VAT Ticket Behavior

Belgian SCE-Certified Version:

  • If a client was linked to the account and the client has a valid email registered, the VAT ticket is not printed
  • Instead, the VAT ticket is emailed directly to the specified client
  • The VAT ticket cannot be reprinted once the account has been paid and closed in version 1.x

Warning

For compliance reasons, VAT tickets in the Belgian SCE-certified version are one-time only.
Once payment is complete, no reprints are allowed.

Other Versions:

  • VAT tickets are automatically printed if the setting is enabled in the Admin Panel
  • Reprints may be allowed depending on configuration

When the Ticket Can Be Printed

In the certified version the VAT ticket can only be printed once the sale has been registered with the fiscal module. Asking for it earlier is refused with:

You cannot print the VAT ticket before the sale has been registered

Wait for the payment to complete and try again. The ticket must carry the fiscal data of a registered sale, so it cannot be produced in advance.


Opening the Cash Drawer

When your establishment is set to open the drawer automatically, printing a VAT ticket in the certified version opens it only when the account actually involved cash.

The drawer stays shut when:

  • The account was paid entirely by card or another cashless method
  • Cash is handled by a cash machine, which keeps the money inside it
  • You are printing a copy of a ticket for a payment taken earlier

Tip

Fewer pointless drawer openings means less exposure at the counter and one less thing for staff to close during service.


Offered and Error Are Not Payment Methods

Offered and Error sit in the row of payment types on the payment screen, which is where staff reach them — but neither of them takes money, and neither is recorded as a way of paying.

Button What it actually does
Offered Applies a 100% discount to the items you chose
Error Corrects the items you chose, reversing them

Both are recorded as corrections. They reduce what the account owes rather than settling it.

Tip

This is worth knowing when you read your reports. Offered and Error never appear as turnover — you will find them among the corrections, which is also why they show up in the decrease-of-turnover section of the X and Z reports.

Offering Items

  1. On the payment screen, select the items you want to offer — or select nothing to offer the whole account.
  2. Tap Offered.

The chosen items come down to zero and the account closes.

Because offering is a 100% discount, everything on the Discounts section applies to it too: the same permission, the same behaviour on the ticket, and the same rule that a custom amount payment taken first blocks it.

Registering an Error

Error is a shortcut for correcting several items at once. It does exactly what cancelling each of those items individually would do — see Cancel an Ordered Product — so reach for it when more than one line on the account is wrong.

  1. On the payment screen, select the items to register as an error.
  2. Tap Error.

Two rules apply:

  • You must select the items — the message “You must select the items to register as an error” appears otherwise.
  • Items that have already been paid cannot be marked as an error: “You cannot register an error on items that are already paid.”

Tip

If the customer has already paid, the correction to use is a refund, not an error.

Note

Correcting one item is often quicker from the order panel: long-press it and choose Cancel. Both routes record the same correction.

Warning

Customer credit remains unavailable in the certified version, for every account type and for every user — including administrators.


Refunds

Confirming a refund opens a refund account and leaves it open. The refund is then paid out from that account as a separate step, the same way a payment is taken — so money leaving the till is always a deliberate action rather than something that happens the moment you confirm.

The refund account is kept separate from the table, so the table is free to be re-seated immediately instead of waiting on the refund.

Tip

If a refund is confirmed but never paid out, its account is still sitting open. Look there first when a refund the customer says they were promised has not reached them.

Two limits apply to what can go on it:

  • Only items the customer actually paid for can be refunded. An item that was cancelled or reversed was never paid, and is refused with “You cannot refund an item that was corrected or reversed.”
  • A refund can be paid back by cash or card only: “A refund can only be paid with cash or card.”

Note

Refunds work the same way in the Belgian SCE-certified version as in the International one, and always have. What changed is the moment of settlement described above, not how the refund is recorded.


What Appears on the Ticket

VAT tickets and summary tickets are consolidated: they show the net result of the service, not every movement that produced it.

A correction always creates two lines on the account: the original line, and a negative line that cancels it out. Neither is printed on the VAT or summary ticket — the pair nets to zero, so printing both would only add noise to a ticket the customer is trying to read.

This applies to all three kinds of correction:

  • An item that was cancelled after being registered
  • A promotion or price change applied to a line that had already been registered
  • Items moved to another table or account

Note

The same rule applies to the digital VAT ticket the customer receives as a PDF, so the paper ticket and the digital one show the same lines.

Warning

This changes what is printed, not what is recorded. Every correction remains registered in full for fiscal purposes, and continues to appear in the reports and in the Admin Panel.


Compressed Tickets

VAT and summary tickets can be printed in a compressed layout, enabled per establishment.

The compressed layout carries exactly the same information as the standard one — the same product lines, promotions, VAT breakdown and fiscal data — arranged to use less paper:

  • Dashed text separators instead of full-width graphical rules
  • Header, ticket markers and establishment details collapsed into a few small centred lines
  • Values packed onto as few lines as possible, broken so that no value is ever split across two lines

Tip

Worth enabling on high-volume counters and takeaway where the ticket is short-lived. Nothing is left out, so it stays valid for the customer and for your records.


Promotions on Tickets

When a promotion has been applied to a product, the VAT ticket and the summary ticket show both halves of the calculation:

  • The product line carries the original price, before the promotion
  • A line underneath shows the deduction, as a negative amount, with the same VAT label as the price above it

The customer can therefore see what the item normally costs and what they were given, instead of only a reduced figure with no explanation.

Note

A promotion applied to a line that was already registered fiscally is recorded as a correction of that line. This is why a promoted item, once corrected, can no longer be refunded — see Refunds.


Summary

  • Access the payment screen after sending at least one product
  • Use the calculator-style cash tool for change
  • Discounts are percentages, applied to one product, to the items you select on the payment screen, or to the whole account
  • Part of a bill can be paid with the keypad button, leaving the account open for the rest
  • Payments auto-close the account after confirmation
  • A provisional bill no longer blocks further orders, promotions, offers, error corrections or moves in the certified version
  • The VAT ticket can only be printed once the sale has been registered
  • The cash drawer opens on a certified VAT print only when the account involved cash
  • VAT ticket behavior changes based on the version and client info
